Handle customers with ease, file & track the progress of client’s visas, documents precisely.

End to end visa application processing, including initial advice, assisting clients with applications, creating files, coordinating with embassies and couriers, arranging payment and dispatching documents and complete records for invoicing.

Provide outstanding customer service to clients. Handle all stages of the application process, keeping clients updated with the progress of their application throughout.

Maintain monthly reports of VISA Department and documentation of Clients records.

Spot errors or problems with applications, and explain politely an clearly to clients what needs to be done to rectify and maintain good relations with Clients.

Respond to incoming calls and emails regarding new and progressing visa applications for all countries, whether physical or e-visas.

Maintain good relations with Consulates, and VFS Staff.

Work with colleagues to achieve Zero Errors and increase business for the company.

Be aware of industry news and up to the minute data on embassies & consulates and making sure that all clients are apprised of the same on a regular basis.

Maintain accurate and current information displayed on our online visa database.

Work collaboratively with various business departments and maintain effective relationships that enhance customer service.

Develop and build rapport with suppliers to expedite fast resolution of issues, escalating where appropriate.

Collecting client feedback on regular basis.

Visit all embassy websites to check latest changes in rules, fees, etc.

Must be able to calculate quickly and accurately without the help of a calculator.

Excellent spoken and written communication skills.

Excellent Customer Relationship Skills.

Responsibilities

Monitor the request queue regularly both by email as well as telephone.

Acknowledge requests in a timely manner.

Search for the lowest fare across PCCs using GDS and prepare a quote for ticketing requests balancing between offering the lowest fares and maximizing commission earnings for the company.

You will also process refund requests received from customers and ensure that all documentation is completed for the refund.

Send a Quote to the prospect/customer with accurate information about airfare, terms, and conditions of transit, and required documentation to enable booking.

Follow-up on quotes sent to the prospect/customer to ensure conversion.

Complete the booking and send out the tickets with accurate information about airfare and terms and conditions of transit, ensuring that all necessary information is entered accurately.

Ensure that bookings are made without ADM / losses on tickets.

Provide exceptional customer service to ensure repeat business and no escalations.
